WHMCS + QuickBooks Online Automatic Sync Module | Module Instructions

Now that our module is installed, you’re ready to start syncing! First step is to ensure that all of your data is mapped.

Mapping Data

  1. Go to Setting & Logs > Run Cron in our module. The cron should already be set to run once a day, and you can run this at any time to refresh the background data our module uses to sync WHMCS data over to QuickBooks Online.
  2. Go to the Configure Mappings menu. The items in this menu represent the different types of WHMCS data that you’ll need to map to their corresponding QuickBooks Online data to ensure accurate and smooth syncing.
  3. Visit each menu in the Configure Mappings menu and map and save your data. Mapping clients is a one-time chore, as when future clients are created, they will be automatically mapped.

Syncing Data

  1. As noted in the FAQS above, syncing happens in only two simple ways – real time and manual.
  2. Real Time: When clients, invoices and payments (optionally) are created in WHMCS, they are real-time synced to QuickBooks Online, no action is needed on your part.
  3. Manual Push: To push over historical data, go to Push & Pull > Push pages and select the data you’d like to push over, then hit Push. You’ll see a status window detailing the progress of the push.
  4. Manual Pull: Since QuickBooks Online doesn’t currently possess the technology to real-time sync data to WHMCS, the only way to get QuickBooks Online data to WHMCS is using our Pull pages. Go to Push & Pull > Pull pages, then select the data you’d like to pull in and hit Pull.

Resolving Errors

  1. As with any complex setup like WHMCS and QuickBooks Online, you may encounter some errors while syncing.
  2. First of all, ensure that you are connected to QuickBooks Online and that all of your data is mapped.
  3. Then, inspect the error in the module log, and determine if it’s an error you can resolve, like the data already exists in QuickBooks Online, or some data isn’t mapped.
  4. If you’re not able to resolve the error, simply open a ticket with us and we’ll be glad to assist.
